Recently there have been several posts about events that are a month or two away. This brings up the question; How far in advance should an event notice be posted?
I'm not referring to advertising but what is essentially a notice / invitation to performers.
When I was more active I would have my yearly schedule planned by the end of February. Adding new events after that could be a problem. Some events I would assume that the date would be the same weekend as last year. For example, NCRF starts in August, the Whole Earth Festival always happens on Mother's Day weekend and Bay to Breakers is the following Sunday.

Fri, May 15, 2009 - 4:57 PMAs a vendor I always liked that concept, but it never happened. For at least the last six or seven years most shows don't get the applications out until about three months before the event (and some are even later than that). Big shows that have multi-weekends and several weeks worth of building of necessity put out their schedules well in advance. Small one weekend events are often working with last minute changes in rented locations (such as insurance or negotiations with the venue) that prevent them from getting the info out much earlier. -

Sat, May 16, 2009 - 8:37 AMA lot of performers and vendors check renregister.com when they are available. Many small faires and festivals list there event there so vendors and actors can see whats available when they have openings. My festival uses the site also to find acts as hundreds are listed with what they do and what they charge...

And have quick yea/nay's for returning vendors**, within a week.
Knowing full well that in a year, the world may change.
For other folks there are waiting lists, to keep everyone posted as to their status.
If at all possible it's minimally nice to be able to plan out one's schedule starting around October (the mostly end of Renn Season),
unless one does Xmas events, then January is a good month in which to plan the coming year.
Gotta plan ahead, whether this is one's full-time job or an exhausting hobby!
** This timing also works quite nicely for Guilds and Stage shows. -

I have applications for vendors and entertainers online by January 1st. Many vendors/performers set their schedules that early and, quite frankly, it is nice to have that done that early from my perspective as well. I don't usually post anything on message boards because I'm already inundated with applications.
I usually try to solicit volunteers 6 or so weeks out and then start promoting a couple of weeks out.
An event the size and scope of NCRF has a whole different timeline reality.
